State Formatting

Normalize state and province values

Overview

State Formatting helps your team normalize state, province, and region values so records follow a consistent standard. This is useful when users, imports, or integrations enter the same place in different ways.

The feature page shows the current state settings for the active portal, so teams can review the existing configuration before changing how state values are normalized.

What this helps you do

  • Reduce variation such as abbreviations, full names, and informal spellings
  • Choose whether the portal should use full names or postal-style abbreviations
  • Improve consistency for segmentation, routing, reporting, and exports

Why it matters

Location data often supports territory rules, reporting, lead routing, and operational dashboards. When state values are inconsistent, filters become unreliable and downstream logic becomes harder to maintain.

Common settings

  • Enable state standardization when you want a single consistent approach across the portal.
  • When standardization is enabled, choose abbreviations if your team prefers compact operational data.
  • Leave the abbreviation option off if readability matters more and your team prefers full names.
  • Use the save confirmation step to review the selected configuration before applying it.
  • Expect a brief processing state after saving while the portal updates the state-formatting rules.

What to do next

  • Agree on the preferred state format before enabling broad changes.
  • Review any dependent workflows or reports that group records by state or region.
  • Use the same approach consistently across imports and manual data entry.
  • Wait for processing to complete before validating the new output in reports or exports.
