Phone Formatting
Validate and normalize phone number formats
Overview
Phone Formatting helps your team improve the quality and consistency of phone number data in HubSpot. It is useful when records contain mixed formats, incomplete values, or phone data that is difficult to trust across sales, support, and operational workflows.
The feature page loads the current phone settings for the active portal, making it easier to review the existing rule set before your team changes validation or formatting behavior.
What this helps you do
- Validate phone numbers before they create downstream issues
- Standardize phone values into one agreed format
- Improve consistency across records, outreach workflows, and integrations
Why it matters
Phone data is often used in outreach, routing, enrichment, and reporting. When the format changes record by record, teams spend more time cleaning data and less time acting on it.
Consistent phone formatting also helps reduce confusion when multiple teams work from the same CRM data.
Common settings
- Enable phone number validation to flag questionable or incomplete entries.
- Turn on phone number standardization when you want one consistent output format across the portal.
- Choose the format that best matches your reporting or operational requirements.
- Use the save confirmation step to review the settings summary before applying changes.
- Expect a brief processing state after saving while the new phone rules are being applied.
What to do next
- Decide whether validation alone is enough or whether you also want full standardization.
- Align your preferred format with the systems and teams that consume phone data.
- Review records with invalid or incomplete numbers as a separate cleanup task.
- Wait for processing to finish before treating the new configuration as final during rollout.
