Manage Studio Portal Settings and Defaults
Give each portal a consistent starting point for new imports
Overview
Studio settings store the starting choices for each HubSpot portal. Good defaults mean every new import begins with your team's agreed preferences for properties, preparation, dates, locations, phones, notes, matching and delivery. Each import can still be adjusted without changing the saved defaults.
What this helps you do
- Apply consistent standards to every import for a portal.
- Reduce repetitive set-up for frequent imports.
- Control which properties are offered first and shared as AI evidence.
- See key information about the connected HubSpot portal.
Open settings
Choose the settings icon in the top bar to open Furball Settings. Choose a section from the sidebar. Portal settings apply to the current portal.
Choose Save changes to save, or Discard to undo unsaved changes. Saved defaults apply to new imports. An open import keeps its current choices.
If a colleague saved settings at the same time, you'll be asked to reload before saving, so changes aren't overwritten.
Portal details
Shows the portal name, domain, portal ID, connection date and automated ingestion status. It also shows the HubSpot account type, time zone, company currency, additional currencies and data hosting location, with a link to Open in HubSpot.
- Studio administrators can rename a portal. The name appears in the portal selector. Leave it blank to show the domain.
- The domain comes from HubSpot and updates when the portal is reconnected.
Properties
Company properties and Contact properties list the portal's properties with checkboxes. Selected properties:
- Appear first when mapping.
- Strengthen company matching, where relevant.
- Are the only company properties sent as evidence when AI company matching is enabled.
Read-only properties, such as calculated properties, are marked Evidence only. They can support matching but can't be imported. Choose Refresh properties after changing properties in HubSpot, or Create HubSpot properties to add new ones.
Preparation
- Treat NA, N/A, NULL and similar markers as empty.
- Automatically skip empty columns: New uploads skip columns with no values below the header row.
- Enable AI header mapping for new imports, when available.
- Header row: The usual heading row in your files.
- Combined address column and Address separator for combining address lines.
Date and Time
- Default timezone, Default date interpretation and Default time for date-only values.
- Timezone labels: Save the correct region for abbreviations such as EST or IST. Labels use 1 to 32 letters.
Location and Phone
Turn country and region standardisation and phone validation on or off for new imports. Choose the country and region formats and the phone candidate priority countries.
Notes
- Default note association: Contacts, Companies, or Contacts and companies.
- Default fallback owner.
- Whether contact email or company domain can link notes when no record ID is available.
- Owner mappings: Map source owner values, such as names in Owner, Scanned By or Booth Staff columns, to a HubSpot owner email or numeric ID.
Outputs & matching
- Files to prepare: The outputs selected for new imports.
- Look up existing HubSpot records before exporting, when lookups are available for the portal.
- Enable AI company matching, when available.
Import
- Default import method: Prepare files only or Automated ingestion. When automated ingestion isn't enabled for the portal, new imports use Prepare files only.
- Contact import mode and Company import mode: Create or update, Create only or Update only.
What is not saved as a default
Some choices are specific to each file and are always set in the import:
- Column mappings and mapping decisions.
- Fallback dates.
- Row cutoffs and row decisions.
- Full-name splitting.
- Address-line columns.
Why it matters
Shared defaults turn your team's data standards into the starting point for every import. They reduce set-up time, keep formats consistent across imports and make results more predictable, without preventing exceptions when a file genuinely needs them.
What to do next
- Review each section with your HubSpot administrator and agree the defaults.
- Revisit the property selection when your HubSpot data model changes.
- Studio administrators can manage portal connections in Connect HubSpot Portals and Manage Staff Access.
