Choose a Portal and Manage Import History

Work in the right HubSpot account and find, reopen or delete imports

Overview

Every Studio import is tied to one HubSpot portal. This guide explains how to choose the portal you want to work in, start new imports and use the import history to reopen, download or delete previous work.

What this helps you do

  • Make sure you are preparing data for the correct HubSpot account.
  • Find previous imports and see who is working on them.
  • Download original uploads and prepared files without reopening an import.
  • Remove imports and files you no longer need.

Choose an account

When no portal is selected, the Studio shows Choose an account. It lists every portal you have been granted access to.

  • Use Find an account to search by portal name, domain or portal ID.
  • Select a portal and choose Choose account to open it.
  • If you see No portals available for your account, ask a Studio administrator to grant your work email access to the portal.

Portals are labelled by their name, then their domain, then their portal ID. Two portals can have similar names, so always check the ID.

Switch the current portal

The selected portal appears under Current portal at the top of the page. Use it to switch to another account at any time.

  • Switching portal returns you to Home and starts a clean workspace.
  • If you have unsaved changes, the Studio asks you to confirm before leaving them.
  • The new portal's saved defaults apply to your next upload.

Use Home

Home has two areas:

  • New import: Drag a CSV or XLSX file into the upload area or click to browse. The upload area shows the maximum file size for your workspace.
  • Previous imports: The import history for the current portal.

The New upload button beside Home is available from anywhere in the Studio. It starts a fresh import without affecting the one you were working on. If that import has unsaved changes, the Studio asks you to confirm before leaving.

Read the import history

Each history entry shows the import name, the portal, when it was last updated and its status.

  • Completed: Files were prepared and are ready to download.
  • Needs review: Preparation finished, but blocking errors must be resolved, or the affected rows skipped, before every output is available.
  • Queued or Running: Preparation is waiting or in progress. You can keep working elsewhere.
  • Failed, Interrupted or Cancelled: Preparation did not finish. Reopen the import to review it and try again.

A lock icon shows when an import is open. Open in this session means you are editing it here. Open by followed by a name means a colleague is editing it.

Download files from history

Expand an entry to see its files without opening the import.

  • Original upload: The file exactly as it was uploaded.
  • Generated files: The prepared company, contact and note import files, plus the diagnostics and issues review files.

Use the eye icon to preview a file in a read-only grid, or the download icon to save it. If a file shows File unavailable, it has been removed; reopen the import and prepare it again.

Reopen an import

Choose Open to continue working on an import. It reopens with the choices it was saved with, not the latest portal defaults. You can then move between stages, review results or prepare it again.

You cannot open an import that a colleague is currently editing. See Share Imports and Work Safely with Your Team for how editing locks work.

Delete an import

Choose the bin icon (Delete data) to delete an import and its generated files. Its original upload is deleted too, unless another import uses the same upload.

  • Deletion cannot be undone.
  • Imports that are still preparing cannot be deleted.
  • Deleting an import in the Studio does not remove records that were already imported into HubSpot.

To discard an upload you have not prepared yet, use Delete upload in the Upload step.

Why it matters

A clear history provides an audit trail of what was prepared, for which portal and when. It helps colleagues avoid repeating work, and it makes it easy to retrieve exactly the files that were imported.

What to do next

  • Name imports consistently, for example by source, campaign and date, so the history stays easy to scan.
  • Delete test imports and imports containing data you no longer need to keep.
  • Read Upload a File and Choose the Data to Process to start a new import.
