Track, Stop and Recover an Automated Import
Follow each phase and handle interruptions without duplicating work
Overview
After you confirm an automated import, the Progress step shows each phase as it happens, along with HubSpot's results and any row errors. If something needs attention, the Studio pauses safely and offers recovery options that never import the same data twice.
What this helps you understand
- Which phase the import is in and whether HubSpot is still processing.
- How many companies, contacts and notes were included.
- Which HubSpot imports were created and whether they completed.
- What to do if the import pauses or fails.
Import phases
Depending on your options, an import moves through:
- Preparing marketing event.
- Importing companies, then resolving company records.
- Importing contacts, then resolving contact records.
- Associating contacts with companies.
- Importing event attendance.
- Importing notes.
- Creating the segment folder and segments.
Waiting for HubSpot to finish processing means HubSpot has received the data and is still working on it. Progress updates automatically and shows when it was last checked.
Import statuses
- HubSpot import queued: Waiting to start.
- Working with HubSpot: A phase is running.
- HubSpot import completed: Every phase has finished.
- Import partially completed: HubSpot imported some rows but not others. Later phases are blocked so incomplete data isn't built upon.
- Paused: attention required: The import stopped safely and can be resumed after the problem is resolved.
- Import failed: attention required: HubSpot reported errors that need review.
- Paused: HubSpot outcome needs verification: The Studio couldn't confirm whether HubSpot completed a request.
- HubSpot import stopped: The import was stopped at your request.
If Status connection interrupted appears, the Studio is reconnecting to check the current status. The import itself continues.
Review the results
- HubSpot results lists each HubSpot import, segment and folder created, with its ID and status.
- HubSpot row errors shows the rows HubSpot rejected and why.
Use the IDs to find the matching imports in HubSpot's import history.
Stop an import
Choose Stop after current phase to stop at the next safe point. The current phase finishes first. Completed changes stay in HubSpot.
Recover a paused import
- Resume from checkpoint: Continue from where the import stopped, without repeating completed phases.
- Retry segments only: Try again to create segments after the records were imported successfully.
- Reconcile without resubmitting: When the outcome is uncertain, check HubSpot for the import, segment or folder. Enter its ID in Matching HubSpot import ID, or the equivalent segment or folder field. The Studio verifies it and continues without sending the data again.
Recovery rules
- Completed CRM changes are not rolled back.
- Partial and uncertain imports are never replayed automatically.
- A completed import is never run again. Prepare a new import for more data.
- If access is revoked, or the portal is disconnected or reconnected, the import stops writing to HubSpot.
Why it matters
Large imports can take time and HubSpot sometimes needs longer to respond. Checkpoints, clear statuses and verification without resubmission protect your CRM from duplicates and half-finished updates, while keeping your team informed.
What to do next
- Check a sample of imported records, notes and segments in HubSpot.
- Use HubSpot row errors to correct source data, then prepare a new import for the rejected rows.
- Read Troubleshoot Data Ingestion Studio for help with common pauses.
